What is certificate of insurance tracking?
Certificate of insurance tracking is the work of collecting certificates of insurance (COIs) from vendors, tenants and subcontractors, checking that each one meets the insurance requirements in your contract, and following up on coverage that's missing or about to expire. Docsumo is an intelligent document processing (IDP) platform that automates the reading and the checking: it reads every ACORD 25 and other COI as it arrives (insured, insurers, policy numbers, coverage types, limits, dates, additional insured and waiver of subrogation) and checks it against the rules you set for that vendor or tenant. Expiring or insufficient coverage goes to your team; the data goes to the system where you track vendors.

What does Docsumo check on each certificate?
The rules you set for that vendor or tenant type: minimum limits for each line of coverage, policy dates against a window you choose (30 days, say), the certificate holder's exact name, the additional insured and waiver of subrogation boxes, and whether the named insured matches your records. A certificate that passes moves on; one that fails goes to your team with the rule and the line it came from.
How does it flag expiring certificates?
A date rule runs as each certificate arrives, so any required policy that ends inside your window is flagged with its dates. The effective and expiration date of every policy also goes to your tracking system, which can request the renewal before coverage lapses.
Which certificates can it read?
ACORD 25 certificates of liability insurance, the ACORD 24, 27 and 28 property forms, ACORD 101 remarks pages, endorsements and carriers' own certificate layouts, whether they arrive as PDFs, scans or images. General liability, auto, umbrella, workers' comp, professional liability and property certificates all come through the same way. How does the data reach our vendor or property management system?
By REST API and webhooks, or as an Excel export. Each certificate arrives as JSON with every field and its confidence score, and a test environment lets your engineers validate the integration first. COI and compliance platforms use the same API: Jones, a real estate liability solution provider, reads ACORD forms and lease documents with Docsumo, and Vertikal RMS, a risk management platform, verifies certificates with its ACORD capture.
Is it secure enough for vendor and policy data?
Docsumo is SOC 2 Type 2 audited, ISO/IEC 27001:2022 certified, and HIPAA and GDPR compliant. Documents are encrypted with TLS in transit and AES-256 at rest, and they are not used to train shared or third-party models. Access is set by role and team, and every review and approval is recorded in an audit log.
